Administrative Assistant

The Administrative Assistant serves as the first point of contact for visitors and clients as well as providing essential support to the social services team, helping to streamline daily operations. The role involves administrative tasks, clerical duties and client interactions to ensure smooth program functioning.

Qualifications:

HS Diploma or GED required, Degree in related field preferred.

1 year experience working in an administrative support or customer service role.

Comfortable in a fast-paced, ever-changing work environment.

Demonstrated ability to effectively interact with parents, children, and staff in a positive and supportive manner.

Strong understanding of office procedures and administrative functions.

Proficient in various computer software programs (Microsoft Office, etc.)

Ability to type at least 40 words per minute and operate word processors, computers, and other electronic devices.

Knowledge of and sensitivity to the cultural and socioeconomic characteristics of the service population.

Job Duties and Responsibilities

Serve as the first point of contact, greeting visitors and clients in a professional manner, answering phones, and taking accurate messages.

Prepare written correspondence, including letters, memos, reports, and other documents as required.

Assist in the preparation and organization of case files and documentation.

Knowledge of company’s social services programs and referral processes.

Make routine decisions in accordance with established regulations, policies, and procedures.

Track and monitor office supply inventory, placing orders to replenish supplies as needed.

Oversee the overall appearance and atmosphere of the office to maintain a welcoming and professional environment.

Receive and manage incoming clothing and general donations and inform staff when new donations arrive, ensuring everyone is aware of where the items are.

Assist with client gatherings and program events, supporting staff with logistics and coordination.

Provide assistance with special projects as directed by management.

Ability to lift a minimum of 10lbs, including folding tables, office supplies and donations.
